RMFN Election-Notification-2025

Dear Members of the Rocky Mountain Friends of Nepal (RMFN),

This notice is to inform you that the RMFN will be conducting elections for the following positions:

Executive Committee

  • President
  • Vice President
  • General Secretary
  • Treasurer
  • Cultural Secretary
  • Public Relations Officer
  • Technical Officer

Board of Directors

  • Woman Coordinator
  • Youth Coordinator
  • General Representative (5 positions)

Eligibility for filing nominations

  • As per RMFN bylaws Section V, Article I, candidates for executive positions must have at least one-year prior membership – that is the candidates’ membership must have commenced no later than March 24, 2024 and must remain valid until March 25, 2025.
  • As per RMFN bylaws Section V, Article II, candidates for Board of Directors positions must be an eligible member.

The election committee, in consultation with the current executive committee, reserves the right to validate and challenge candidates’ eligibility, should a discrepancy be observed during filing of nominations and/or a petition has been filed by a eligible voter regarding one’s candidacy.

Voter’s Eligibility

  • As per RMFN bylaws Section V, Article VI, those RMFN members are eligible to vote, whose membership remains valid on March 25, 2025 and the membership must have commenced no later than December 31, 2024.

The list of RMFN members whose membership has commenced no later than December 31, 2024 has been published and posted on the RMFN website (www.rmfn.org). Members are requested to verify whether their membership remains valid at least until March 25, 2025.

Nomination Process and Fees

  • A candidate to a position must nominate himself or herself for one position only. Nomination by others won’t be valid. Nomination must be made by sending email to election committee’s email address rmfnelections2025@gmail.com.
  • Nomination must be filed by the deadline which is specified below in the election schedule.
  • Nomination fee must be paid through RMFN PayPal account at the time of filing the nomination.
  • The applicable nomination fees are as follows:
    • President: $ 200
    • All other executives: $ 100
    • Board of Directors: $ 50
  • A nomination will be considered valid only if the nominee satisfies the eligibility conditions as outlined above.

Elections Timelines

  • February 28, 2025 – Final Voter List of RMFN published
  • March 3, 2025 to March 7, 2025 – Candidates file nominations. Nominations will be accepted from 8.00 a.m. MDT on March 3, 2025 through 5.00 p.m. MDT on March 7, 2025.
  • March 10, 2025 to March 14, 2025 – Candidates’ withdrawal and petition hearing regarding candidacy. All withdrawals and complaints must be filed between 8.00 a.m. MDT on March 10, 2025 and before 5.00 p.m. MDT on March 14, 2025.
  • March 17, 2025 – Final list of candidates published on RMFN website.
  • March 24, 2025 – Online elections to be conducted from 8.00 a.m. to 8.00 p.m. MDT. Link for voting and voting instructions will be emailed to all the voters prior to the election.
  • March 25, 2025 – Vote counting and result declaration by 5.00 p.m. MDT.

Complaint Filing Guidelines

  • Any member (eligible voter for RMFN election 2023) may file complaints to the Election Committee related to candidacy, voter eligibility, correction of names and addresses, and any other issue directly related to the election within the timelines as outlined above.
  • A complaint must be emailed to the election committee at rmfnelections2025@gmail.com. Anonymous emails will not be entertained.
  • The Election Committee shall examine and address the complaint as soon as possible. The Election Committee reserves its rights to make a full and final decision regarding any complaint.
